RFVHC Member and Board Meetings - 2023
All meetings of The Board of Directors shall be open to the membership and the public. The Board of Directors shall meet no less then four times per calendar year and shall be empowered to carry out the following functions and duties for the organization:
Our Board meets generally once a month on the 4th Tuesday of each month. We meet by ZOOM, and minutes are turned over within 10 days. Board members can soon access the Minutes in an archive kept on our website. Zoom Meeting Instructions for Participants • It is strongly encouraged to use a laptop or a desktop with a webcam set up, as this will give participants the best experience for the meeting. • Mobile devices require users to download the Zoom app and has a limited view of participants. Set-Up: 1. Go to www.zoom.us. 2. Set up a Zoom account by clicking (in the right top-hand corner of the screen) “Sign up, it’s free”. It's EASY. JOIN A MEETING 1. The meeting host (RFVHC) will set up a zoom video meeting and here is a link to our meeting page where you can locate your ZOOM meeting link https://www.rfvhorsecouncil.org/rfvhc-meetings.html 2. Then, at about 5:50 PM click on the link provided. 3. If you are unable to utilize the video conferencing ability, you can join the Zoom meeting by phone, by following their instructions in the ZOOM invitation. 4. A download will start (which takes 10-20 seconds). 5. Select Join with Computer Audio (this allows permission to your microphone.) a. If there is no automatic prompt asking to join with computer audio, on the lower left hand of the screen, click the microphone “mute” image to join audio. Then, just to the right there is an up-arrow for more options- select audio settings, and then check the box next to the second option, “Automatically join audio by computer...” 6. This will connect you to the meeting. During the Meeting: • Mute yourself to block dogs barking and kids o If you wish to mute your audio, click the “Mute” (microphone image) on the lower left hand of your video screen. You will still be seen, just not heard. • Video Stop o If you wish to hide your video, click “Video Stop” (video image) on the lower left hand of your video screen, next to the “Mute” button. You will still be heard, but not seen. • Share Screen o If you have something on your desktop to share (a document, for instance), click “Share Screen” and then select what window (desktop, document, etc) to share with the meeting. o To stop sharing, click the red “Stop Share” button. • Virtual Background o If you wish to hide the background behind you for something different, select the arrow next to “Video Stop”, and select “Choose Virtual Background”. o Select the square button with a plus symbol, choose add image, and select a photo from your computer files. o Select the photo, and make sure there is a check mark next to “mirror my video”. o This will display the virtual background. To leave, X out of the Settings. Conclude the Meeting: Once the meeting has decidedly concluded, the host (RFVHC) will end the meeting by clicking “End Meeting for All”. |
